What is personal information?

Personal information is any information relating to an identified or identifiable natural person. This includes your name, pictures and videos of you, your e-mail address and any information that obviously relates to a particular person and can be used to identify you., but also your IP address or other online identifiers.

Principles of data processing

    Information collection when visiting our website

      Submit clips & photos

      If you are submitting digital photos, clips and or video content, we ask you for your name, e-mail, your age as to whether you are 18 years or older, and Extra information (optional) and Clip credit (optional) and Digital Signature. When you upload digital photos, clips and or video (referred to as “content”) the content uploaded may also include so-called metadata, such as the exact location or the time the content was taken or recorded. As such data processing takes place when the content file is uploaded. Content is generally considered personal data as soon as a person can be identified. In those cases, the legal basis for processing your information is your consent and our legitimate interest in processing your content in our social media submissions. Your information and content you upload are transferred using the services of Paperform and stored on our AWS server. We only disclose this information within the scope of the applicable law to the extent that this is necessary for the aforementioned purposes or for the fulfilment of legal obligations. Your information will be deleted after final processing of its purpose, provided that there are no statutory retention obligations to the contrary. You can withdraw your consent to processing your content and information at any time by contacting us. 

      Administration, financial accounting, office organization, contact management

      We process information in the context of administrative tasks as well as organization of our operations, financial accounting, and compliance with legal obligations, such as archiving. In this regard, we process the same information that we process in the course of providing our services. The deletion of information with regard to services and contractual communication corresponds to the information mentioned in these processing activities.

      In this context, we disclose or transfer information to the tax authorities, consultants, such as tax advisors or auditors, as well as other fee offices and payment service providers.

      Furthermore, based on our business interests, we store information on suppliers, event organizers and other business partners, e.g., for the purpose of contacting them at a later date. This information, most of which is company-related, is generally stored permanently.

      Duration of storage of personal information

      The duration of the storage of personal information is measured on the basis of the respective statutory retention period (e.g., retention periods under Canada's commercial and tax law). After expiry of the period, the corresponding information is routinely deleted, provided that it is no longer required for the fulfilment of the contract or the initiation of the contract and/or there is no continued legitimate interest on our part in the continued storage.

These include using secure networks, encryption or other protection of cardholder information, physical and technical access controls, monitoring and testing of security systems, and implementation of the information security policies. Just Rolled In associates who have access to your personal information are made aware of the importance of keeping it confidential. When disposed of, the information is securely shredded, destroyed, erased, or otherwise made unreadable.

We typically fulfill your request within one month unless the request is particularly complex, or we receive multiple requests from you. When permitted by law, we may charge an appropriate fee to cover the costs of responding to your request.
